2. WHAT DATA WE COLLECT AND WHY
A. Article Submission, Authorship, and Peer Review
Data collected:
First name, last name, academic/institutional affiliation, email address, ORCID iD, billing details (for Article Processing Charges / APC, if applicable), and any personal data included in submitted manuscripts, emails, or cover letters.
Purpose:
To evaluate, peer-review, process, publish, and index scientific manuscripts; to manage editorial communication; and to issue invoices/receipts for publishing services (APC).
Legal basis:
Performance of a contract or pre-contractual measures (Art. 6(1)(b) GDPR) for processing submissions and peer-review; compliance with legal, accounting, and tax obligations (Art. 6(1)(c) GDPR).
Retention period:
Metadata and author details associated with published scientific papers are retained permanently as part of the permanent academic record (Open Access publication archive). Administrative/financial data (invoices for APCs) are retained for 10 years as required by Italian law (Art. 2220 C.C.).
B. Direct Email Inquiries
Data collected:
Email address, name, sender details, and any personal information included in email messages sent directly to the Editorial Office or journal contact addresses.
Purpose:
To process, respond to, and manage direct email inquiries, requests for information, or editorial support.
Legal basis:
Performance of pre-contractual or contractual measures taken at your request (Art. 6(1)(b) GDPR).
Retention period:
24 months from the resolution of the request, unless statutory retention applies or a formal contractual/editorial relationship is established.
C. Newsletter and Editorial Updates
Data collected:
Email address, first name, last name.
Purpose:
To send updates regarding new journal issues, calls for papers, conferences, and scientific announcements related to Detritus Journal.
Legal basis:
User consent (Art. 6(1)(a) GDPR).
Retention period:
Until consent is withdrawn (via the “unsubscribe” link included in each email or by contacting us).
D. Navigation and System Data
Data collected:
IP address, browser type, operating system, access times, pages viewed, referring URLs, and system error logs.
Purpose:
To ensure site functionality, protect system security, and diagnose technical issues.
Legal basis:
Legitimate interest of the Data Controller in ensuring website integrity and operational performance (Art. 6(1)(f) GDPR).
Retention period:
Server logs are automatically overwritten/rotated every 30 days, unless required for legal investigations into cybercrimes.
3. THIRD-PARTY SUBMISSION PLATFORMS & APC PAYMENTS
Manuscript Submission & Peer Review:
Manuscript submissions and peer review management are handled via external dedicated platforms (Clarivate ScholarOne). When submitting a manuscript, your data is processed in accordance with the specific terms and privacy policies of their services.
Article Processing Charges (APC):
If APCs or administrative fees apply, financial transactions are executed securely via accredited third-party payment providers or bank transfers. EUROWASTE SRL does not directly store credit card numbers or banking credentials on site servers.
4. DATA RECIPIENTS & SCIENTIFIC INDEXING
Personal data is not sold or traded. Personal data may be shared with or processed by:
- Editorial Board Members & Peer Reviewers: Strictly for reviewing and processing submitted scientific works.
- Hosting & IT Service Providers: For maintaining website infrastructure, databases, and secure communication systems.
- Indexing Databases & Open Access Repositories: Author details (name, affiliation, ORCID, article content) associated with accepted papers will be publicly distributed worldwide in digital databases, indexing services (e.g., Scopus, Web of Science, DOAJ), and repositories as part of the Open Access publishing model.
- Financial & Legal Consultants: For administrative, accounting, and tax compliance.
- Public Authorities: Where legally required.
5. COOKIES
This website uses exclusively first-party technical cookies necessary for essential navigation and site functionality (e.g., session management or secure login). No profiling cookies or third-party marketing trackers are used. Consequently, pursuant to applicable regulations (Art. 122 of the Italian Privacy Code and the Italian Data Protection Authority / Garante Guidelines of June 10, 2021), a cookie consent banner is not required. If third-party embedded content (such as embedded videos or external analytics) is integrated in the future, cookie consent mechanisms will be updated accordingly.
6. INTERNATIONAL DATA TRANSFERS
As an international academic journal, author information and published papers are accessible globally. Where personal data is transferred outside the European Economic Area (EEA) for editorial or peer-review operations, such transfers are carried out in compliance with Chapter V of the GDPR (e.g., using Standard Contractual Clauses approved by the European Commission).
7. YOUR RIGHTS
Under Articles 15 – 22 of the GDPR, you have the right to request from EUROWASTE SRL:
- Access to your personal data and a copy thereof (Art. 15).
- Rectification of inaccurate or incomplete data (Art. 16).
- Erasure of your personal data (Art. 17), except where retention is mandated by law or necessary for the integrity of the published scientific record.
- Restriction of processing under specific legal conditions (Art. 18).
- Data portability (Art. 20).
- Objection to processing based on legitimate interest (Art. 21).
